Privacy Policy

Last updated: 1 November 2026

Your Art Vault (“we”, “us”) is operated by Kerja Group LLC. This policy explains what information we collect when you use parkwestcollectors.com (the “Service”), how we use it, and the choices you have. We wrote it in plain language on purpose.

What we collect

Account details. Your name, email address and password (stored only as a one-way hash), and the display name you choose for your catalog. You can also add an optional profile photo and bio.

Your collection. The artwork records you add or import: titles, artists, registration and serial numbers, purchase dates and prices, dimensions, photographs, and any documents you upload (invoices, certificates of authenticity, appraisals). This is your data. It is private by default and only visible to others if you choose to list a piece for sale or trade, or choose to share your catalog. A catalog or artwork shared by link can be viewed by anyone who has that link.

Park West Clarity import. When you import from your Park West Clarity account, the import runs in your own browser and sends us only the order and artwork details you confirm. We never see or store your Park West password.

Payments. Subscriptions are processed by Stripe. We receive your subscription status and the last four digits of your card; we never store full card numbers.

Technical data. Standard server logs (IP address, browser type, pages visited) kept for security and troubleshooting, and a small number of strictly necessary cookies that keep you signed in.

Optional eBay connection. If you connect an eBay account, we receive the listing, order, sale, shipping and fee data you authorize for your collection and Ledger.

Optional AI connections. If you connect your own AI assistant, the connection accesses the data and actions you authorize. You can disconnect it.

Previews and private exports. We create document previews and, at your request, complete private PDFs of your collection. A complete private PDF can include your private fields, photos and original document scans. Its owner-only download link expires after 7 days.

How we use it

To run your account and store your collection; to match artwork details to your invoice or Clarity records when you ask; to show listings you choose to make visible to other members; to process your subscription and send receipts, password resets and service notices; and to keep the Service secure. We do not sell your information and we do not use it for third-party advertising.

Documents read by AI

If you upload an invoice, certificate or appraisal and ask the Service to fill in the details for you, the pages of that document are sent to Anthropic’s Claude API to read the text. Anthropic processes it under its commercial terms, does not use API data to train its models, and does not retain it beyond short-term operation. You review and confirm everything before it is saved.

Who can see your collection

Your collection is private. Titles, artists, registration numbers and photos are stored with your account so we can verify pieces and show the ones you choose to list. What you paid, sales tax and costs, appraised values, invoice numbers, buyer details, your notes and where each piece hangs are stored sealed — encrypted with a key that belongs to your account. Pieces you mark “for sale” or “for trade” appear in the members’ Exchange with the details we mark as public (title, artist, image, medium, edition, asking price) and never your purchase price, invoice numbers or personal details. When you list a piece on the Exchange, its recorded appraisal is shown unless you choose to hide it. Your purchase price and costs are never shown. Your personal catalog page is private unless you set it to “anyone with the link” or “public”. You can change either at any time.

Our team can help you reset your password and can see a list of the artworks you added. Our team cannot open your uploaded documents or your sealed details in the product. Our systems decrypt your sealed details on our servers only to show them to you, to read your documents when you ask, and to produce your own reports. Access to our servers is limited and logged.

Who we share it with

Only the providers we need to run the Service: our hosting provider (IONOS, managed with Ploi), Cloudflare for DNS and security, Stripe for payments, Anthropic for document reading, and our transactional email provider for account emails. Each receives only what is needed for its task. We will disclose information if the law requires it.

Your choices

You can export your entire collection as an Excel file without images, or request a complete private PDF with your photos, details and document scans, from My Account. These downloads remain available while your account is read-only. You can edit or delete any piece, change your catalog visibility, and cancel your subscription from the billing portal. You can ask us to delete your account and all of its data from My Account; we complete deletion within 30 days and confirm by email.

Retention and security

When your membership ends, your account stays open read-only for 30 days. During that time you can view and download your records and you can rejoin. After 30 days your details are permanently deleted. Backup copies are deleted within 14 days after that. A request from you to delete your account is carried out within 30 days. Backups are encrypted and rotated on a 14-day schedule. Connections are encrypted (HTTPS), passwords are hashed, and access to the servers is limited to the people who operate the Service.
