FAQ

Questions collectors ask us.

Everything in plain English, about your collection, your privacy and your membership. If your question is not here, write to us — a person replies, usually within a day.

Before you join

What is Your Art Vault for?

Your Art Vault is first and foremost a private home for all your art. Keep artwork details, documents and financial records together, wherever you are. See what you own, what you have sold or traded, what you paid and what came back, with collection stats and recorded gains or losses. Sharing and community features are there if you want them.

Is this run by Park West Gallery?

No. Your Art Vault is independent — built and run by collectors who buy from Park West themselves. We are not affiliated with or endorsed by Park West Gallery.

Who can join?

Membership is for Park West Gallery customers. Verify through your Clarity account or send your purchase documents.

Is the free trial really free?

Yes. 14 days, no card. If you do nothing, your account becomes read-only on day 15. Nothing is charged and nothing is deleted. You can still see and download everything. During the trial our AI can read up to 30 documents; a counter shows your usage. Failed reads and retries do not count, and further uploads stay queued until your first payment.

What is a Founding Member?

One of the first 100 members who make a successful annual payment. The badge is awarded after payment and kept while membership remains active. These are the original 100 places; they do not reopen when someone leaves. Your original subscription price is retained.

What if I only have a few pieces?

That is exactly who this is for. Most members start with one or two pieces and add more over time. There is no minimum.

I am not good with computers. Is this for me?

We designed it for collectors, not for app experts: clear type, plain English, and everything in one menu. If you can send an email, you can use our platform — you can even email your documents in. And you can always write to us; a person replies.

Is there an app?

Yes, a web app. Open Your Art Vault in your browser and add it to your home screen: on iPhone or iPad in Safari, tap Share, then Add to Home Screen; on Android in Chrome, tap the ⋮ menu, then Add to Home screen or Install app. The Your Art Vault icon then sits with your other apps, and one tap opens your collection. There is nothing to download from a store.

Does it work on my phone or iPad?

Yes. Everything works in the web browser on your phone, tablet or computer, and you can add it to your home screen so it opens like an app.

Your collection & documents

How do I get my collection in?

Two ways. Connect your Park West Clarity account and every purchase comes across in a few minutes — title, artist, registration number, size, date and the official photo. Clarity does not hold your certificates, appraisals or the prices you paid, so you add those yourself: upload them or email them to your private address, and our AI reads each one and files it with the right piece. No Clarity? Upload or email your Park West invoices and certificates, and our AI creates the pieces for you.

Can I email my documents in?

Yes. Every member has a private email address. Forward the Park West email with the invoice attached, or photograph a certificate on your phone and send it — from any email address. We read the document and put it in your review list; anything sent from your own addresses can be filed automatically when it matches one of your pieces.

What can I download?

Two things. The first is an Excel file with every detail you have entered for every artwork, without images. The second is your complete catalog as a PDF, with all photos, details and your document scans. The complete catalog includes your active pieces. Pieces you have sold, traded, donated or gifted are left out unless you choose to include them. The PDF is prepared in the background; we email a link that lasts 7 days and requires you to sign in as the owner.

How are my pieces matched?

Our AI compares the artwork details with your uploaded Park West invoice or your Clarity record. The badge names the source that matched. A certificate on file is shown separately. A source match does not authenticate the artwork or state its value.

What happens when I sell, trade up or give away a piece?

Mark it on the piece — or upload the Park West trade-up form and we read it for you — and it moves to your archive with the date, what you received and any fees. It stays in your records and your ledger, so you can always see what it cost you and what came back.

Can I keep pieces I bought elsewhere?

Yes. Any artwork can be stored in your vault and shown in your catalog — it is simply marked as not bought through Park West. Only pieces with a Park West registration number can be verified, and listing a non-Park West piece for sale or trade carries a small per-item fee.

How can I share my collection?

Build a catalog from the pieces you choose, then select Private, Anyone with the link or Public in My Catalog. Share it with friends, family, fellow collectors or your insurer. Anyone with the link can open the catalog; you can change its visibility or create a fresh link whenever you like.

Can I print it?

Yes. Print a clean catalog of your collection with the official photos straight from the site, or save it as a PDF. Keep the saved PDF on your phone or tablet to browse it without an internet connection.

Can I keep records for my accountant or insurer?

Yes. Your ledger lists every purchase with the price paid, sales tax, costs and appraised value, and every sale, trade-up or gift with what you received and the gain or loss. Pick a year or all years, see it in charts, and download it for Excel or as CSV for QuickBooks. It is a record for you and your advisor, not tax advice.

Privacy

Where is my data kept, and is it secure?

On our own private VPS servers, not shared hosting, so your collection is always at your fingertips and always private. Connections use HTTPS, passwords are stored only as a one-way hash, and what you paid, appraised values, invoice numbers, buyer details and notes are encrypted with a key that belongs to your account. Backups are encrypted and rotated on a 14-day schedule, and membership payments are processed by Stripe.

How do I choose my collector name?

Choose a collector name for your profile, Exchange listings and community conversations. When you arrange a sale or trade, you decide which contact details to share with the person involved.

What happens to my information if I cancel?

You can download your whole collection and your ledger at any time, as a spreadsheet for Excel, and you can ask us to delete your account and everything in it.

Buying, selling & community

How can I take part in the community?

Explore The Lounge, The Roundtable, events and The Exchange whenever they suit you. Share stories about your art, find fellow collectors and choose whether to buy, sell or trade. Your collection records are always at the heart of Your Art Vault.

Do you take a commission when I sell?

Our optional escrow service is coming soon. Members arrange sales and trades directly with each other.

Why is there a fee for listing pieces I did not buy from Park West?

Art from other sources can be added to your collection. Annual members who list it pay $25 per item, shown before you list.

How does the pricing guidance work?

Two ways. Our listing assistant tells you when an asking price looks unrealistic — resale prices rarely exceed the appraised value unless the artist has passed — and gives you tips along the way. And The Study, our members’ price guide, shows the average price paid and the average Park West appraisal for each title. The final price is always yours to set.

What are The Lounge, The Roundtable and The Study?

They are the community side of the platform. The Lounge is private and group chat with fellow members, with photos. The Roundtable is our discussion board, with a board for each of the best-loved Park West artists, buy requests and “Have you seen this piece?”. The Study is a price guide built from members’ own records.
